Job Description (Roles and Responsibilities)
The Corporate Services Team in British Embassy Cairo is looking to appoint a Transport & Telecommunications Coordinator grade A2 (L) to start as soon as possible.

Main purpose of the job:
The Corporate Services Section is responsible for the overall management of the British Embassy Estate, Finances, Human Resources, Transportation, Communications (including Information Technology), Protocol and other administrative functions. It is a key section within the Embassy and staff are committed to providing the best possible support to the wider Embassy to ensure the effective delivery of priority objectives across all teams.

As a key member of the Corporate Services team, you will be responsible for the effective management of all transport and telecommunications matters.

Main Duties and Responsibilities:
As the lead Transportation Coordinator, you will be responsible for:

The direct line-management of a team of seven drivers: You will be expected to promote collaborative team working, manage and analyse workloads, prepare and monitor team schedules, develop your team through coaching, agreeing ambitious and sensible personal development plans, agreeing collective and individual objectives and ensuring staff are appraised fairly and in line with Embassy policies.
Receiving, and processing transport fleet bookings according to Embassy and FCO transport policy. You will also be responsible for maintaining transport logs and, where required plan for staff movements outside of Cairo. This will include close collaboration with drivers and passengers and occasional coordination with external transport providers.
You will have overall responsibility for ensuring the transport fleet is maintained appropriately, following up on overall fleet cost and maintenance schedules to make sure the Embassy fleet remains in a good and safe condition.
As the lead Communications Coordinator, you will be responsible for:

Managing calls to the Embassy telephone system: Answering inquiries and/or redirect them as appropriate.
Managing and updating as necessary the Embassy internal telephone directory.
Administering hotel bookings for official visitors in coordination with procurement teams; Communicating with hotels via emails and telephone, securing confirmations and managing any changes.
Receiving and organizing all mobile and land lines requests from staff: maintaining the Embassy contact list, and ensuring contact information is available on staff devices. You will also coordinate requests for data service changes on line according to policy, and providing advice on mobile and data services usage.
Managing staff medical insurance profiles.
The jobholder will have a good degree of autonomy though will have the full support of colleagues across the mission. S/he will need to work flexibly to prioritise against competing demands. An ability to maintain effective networks within the Post, and externally is essential.

The jobholder will also have the opportunity to engage in wider Corporate Services or Post corporate roles.

Experience in managing staffs;
Demonstrated ability and experience in Admin support position
Demonstrated initiative, adaptability and the ability to work flexibly both in a team and individually;
Good IT skills (word, excel, outlook and the internet), including the ability to learn new programmes quickly.
Desirable qualifications, skills and experience
Previous experience in Operation Management
Previous experience working for other Embassies
